How Does our System Work?

We use the WAMS (Wesnet Assets Management System) to conduct stocktakes in schools. The CASES21 assets register is electronically loaded into our WAMS hand held scanner, along with the room register and department list. Once the scanner has all of this information downloaded to it, your stocktake can commence!

We first tell the scanner what room we are going into. After that, we begin the search to see which assets are on the CASES21 asset register and which should be on. The scanner allows us to search your asset register by serial numbers, makes, model, room and more. If we discover that the asset we are searching for already exists in your CASES21 assets register, we place a barcode sticker on it with its unique asset number (DE&T) which relates directly to CASES21. On the other hand, if that particular asset does not appear to be in the CASES21 assets register and we believe it should be on, we record its details to bring to your attention at the completion of the stocktake.

As we are doing the stocktake, we can use the scanner to modify information about an asset also. For example, we record which assets have changed location and we can add in any missing details (serial numbers, etc). We can even mark an asset to have a barcode re-printed if it has been removed.

When the stocktake is completed we convert the data from the handheld scanner into an Excel spreadsheet. The information in this spreadsheet is used to bring your CASES21 asset register up-to-date and also to record the stocktake as per the DE&T guidelines. After the stocktake has been recorded, every asset in your CASES21 assets register will show the stocktake date and your asset register will reflect the current state of your assets all over the school.
